Choose your starting point

What is Ofivelo for?

Ofivelo is an Android app for organising an automotive workshop. It brings customers, vehicles, work orders, quotations, stock and reports together, so authorised team members can work with the same workshop information. It is designed for workshop owners, administrators and mechanics.

Your workshop administrator decides which screens and actions you can use. Follow the steps relevant to your role. Manage workshop work in the Android app and use this guide whenever you need help.

Your first steps

01

Register and sign in

  1. Open Ofivelo on your Android phone and choose your language. Android 13 or later is required.
  2. Open the app and choose your language. Select Register, enter an email you can access and create a password of at least 12 characters. Repeat the password and submit.
  3. Open the Ofivelo confirmation email and enter its code in the app. Use the most recent code if you requested another email.
  4. Sign in with your Ofivelo email and password. If you forget the password, enter your email on the sign-in screen and use the recovery option.

Choose or create a workshop

  1. After signing in, open the Workshops tab and select the workshop you belong to.
  2. If you are joining a team, check Invitations and accept the invitation for the correct workshop. Refresh the list if a new invitation has just been sent.
  3. If you own a new workshop, choose Create workshop, enter its name and confirm. You become its administrator.
  4. Complete the workshop details in Settings before preparing documents for customers, including the workshop name and contact information.

Invite your team

  1. As the administrator, open the user/team area in Settings and go to invitation management.
  2. Enter the email that your colleague uses for their Ofivelo account and send the invitation.
  3. Your colleague signs in, opens Invitations in the workshop selection screen, accepts and selects your workshop.
  4. Check the sent invitation list for its status. Use the three-dot menu to revoke a pending invitation when necessary, then assign the appropriate permissions to the member.

Everyday workshop work

Add and manage customers

  1. Open Customers and use the + button to create a customer.
  2. Enter the customer name and the relevant contact, address and tax identification details. An email is useful when sending quotations.
  3. Save the form and open the customer record to review it. Use the available edit action to correct details.
  4. Before creating another customer, search for existing records to avoid duplicates.

Link a vehicle to its customer

  1. Open Vehicles and use + to add a vehicle.
  2. Select the customer and complete the registration number and available vehicle information.
  3. Save and check that the vehicle is linked to the correct customer.
  4. Select this vehicle when creating a quotation or work order so the job has the right customer and vehicle context.

Track a work order

  1. Open Work orders / Services and use + to create a job.
  2. Select the customer and vehicle. Describe the requested work and complete the fields relevant to the intervention.
  3. Record the parts and labour for the job and keep its status up to date as work progresses.
  4. Review the details before completing the job. Use the available documents and reports to follow the workshop’s activity.

Prepare and send a customer quotation

  1. Open Quotations, use + and select the customer and vehicle. Describe the proposed work and enter mileage where relevant.
  2. Add parts and labour lines, quantities and final prices. Review any discount and the total. If you itemise VAT, choose the applicable rate; it is already included in the prices and is not added again. A 0% rate requires a written explanation.
  3. Set the validity date, payment terms and completion terms. Add customer-facing observations and choose Portuguese, English or Spanish for the PDF labels and message.
  4. Save, open the three-dot menu and select View / send quotation. Preview the PDF and check workshop details, customer, lines and totals.
  5. Choose Email for an addressed message with the PDF attached, or share it through WhatsApp or another installed app. Complete the send in that app.
  6. Only confirm the quotation as sent after you actually send it. Record the customer’s acceptance or rejection when they communicate their decision.

Keep parts and stock organised

  1. Create the article in Parts, completing its description, reference and available price fields. Search for an existing part before adding a duplicate.
  2. Open Stock. Use New stock entry to record incoming parts, quantities and the relevant supplier or document details.
  3. Use the Reservations and Movements tabs to review reserved quantities and recorded changes. Use Adjust stock or Start inventory when those actions are available.
  4. Review the parts used on jobs alongside stock records and check the resulting quantities.

Manage suppliers and purchases

  1. Open Suppliers and choose New supplier. Enter the name, tax identification and useful contact details.
  2. Save and open the supplier to check its details and the available purchase activity.
  3. When recording a stock receipt, choose the corresponding supplier and review the parts, quantities and document details before saving.
  4. Use the available supplier filters and status actions to keep the list organised.

Use the dashboard and reports

  1. Use the dashboard for an overview of the selected workshop.
  2. Open Reports and choose the available report and date period for the activity you want to review.
  3. Check recorded customers, jobs and amounts when a result looks unexpected.
  4. Use the available financial and document screens for more detail, according to your access.

Workshop administration

Set profiles and individual permissions

  1. As the administrator, open Settings → Privileges.
  2. Select a user and apply an existing profile as a starting point.
  3. For a tailored profile, use + to create your own profile and configure screen access and the supported Create, Edit and Delete actions.
  4. Apply the profile or customise the user’s access, then save and check the permissions with that user.

Delete and recover records

  1. Open the record’s three-dot menu and choose Delete when the action is available. Read and confirm the prompt.
  2. An administrator can open Settings → Deleted records to find eligible deleted records.
  3. Choose the record and restore it within 30 days of deletion.
  4. Refresh the relevant list and check the restored record.

Synchronisation and backups

  1. For shared workshop data, team members must belong to and select the same workshop.
  2. Connect to the internet to let pending changes synchronise. Check any sync notice or error before relying on another device’s copy.
  3. If changes are missing, verify the workshop and permissions on both devices, refresh and allow synchronisation to finish.
  4. As the administrator, use the backup tools in Settings to create a copy and store it somewhere safe outside the phone. Review the restore confirmation carefully before replacing current data.

Check your plan and payments

  1. Open Settings → Plan. The administrator can consult the workshop’s current plan and subscription status.
  2. Refresh the information and review the available expiry or next payment date, payment history and masked payment method.
  3. Use the subscription actions offered by your version and account. Read the confirmation before changing renewal.
  4. If a payment or renewal action is unavailable, contact support with the workshop and app version.

What can I use Ofivelo for?

Where should I start?

Create your Ofivelo account and confirm your email. If you are a mechanic, accept your workshop invitation. If you manage a new workshop, create it and complete its details before adding your team and first job.

I did not receive the confirmation email. What should I do?

Check the email entered during registration, including spelling and the domain. Search your inbox and spam folder for Ofivelo. Wait at least one minute before resending and enter the most recent code. If it still fails, contact support with the email and the message shown in the app.

Do I need to create a workshop to join my employer’s team?

No. Register or sign in with your own Ofivelo account, accept the invitation and select the existing workshop. Creating another workshop would give you a separate workspace.

Why is an invitation missing?

Ask the administrator to check that it was sent to your Ofivelo account email. Refresh Invitations in the workshop selection screen. Check whether the invitation is pending, expired or revoked; the administrator can check its status.

Why can’t I save a customer with this tax number?

The number is already associated with a customer or the entered details need correction. Search for the existing record and edit it, or correct the tax number in the form. Do not create a duplicate customer to work around the message.

Why do I not see a screen or the Delete action?

Screen access and actions depend on your assigned permissions. Delete appears inside the three-dot menu where the screen supports it. Ask your workshop administrator to review your profile.

How do I send a quotation?

Save the completed quotation, open its three-dot menu and choose View / send quotation. Check the PDF, choose email or another sharing app and complete the send there. Opening the share menu does not send the document.

Are internal notes visible to the customer?

Internal quotation notes are excluded from the customer PDF and message. Public observations, line descriptions and conditions are included, so review them before sharing.

Does a quotation count as an invoice?

No. The customer quotation proposes work, prices and conditions. It is separate from invoicing. Review the applicable invoicing requirements before issuing a financial document.

Can deleted customers, vehicles or jobs be recovered?

The administrator can recover eligible records in Settings → Deleted records for 30 days after deletion. Contact the administrator promptly if you deleted the wrong record.

Why are changes not visible on another phone?

Check that both accounts selected the same workshop, have the necessary access and are online. Review sync errors and allow pending changes to finish. The local/offline edition does not synchronise between phones.

Where do I check whether Premium is active or what I have paid?

The administrator can check Settings → Plan for the current status, available dates, payment history and the masked payment method. Refresh the information and contact support if it cannot be loaded.

How do I change language or request account deletion?

To change language, open Settings → Language. To request account deletion, use the Delete account page linked in this website’s footer and send the request from the email associated with your Ofivelo account.
